Privacy Policy

This Privacy Policy explains how Asfar Distribution LLC ("Asfar," "we," "us," or "our") collects, uses, and shares information when you visit www.asfardistribution.com (the "Site"), use our website chat assistant, submit a form, or use our client portal at app.asfardistribution.com (together, the "Services").

By using the Services, you agree to the practices described in this policy. If you do not agree, please do not use the Services.

1. Information We Collect

Information you give us. When you request a quote, check shipping rates, contact us, download a resource, or chat with us, we may collect:

  • Your name, email address, phone number, company name, and company website
  • Business details such as monthly order volume, products, shipment weights and dimensions, and the services you need
  • The content of your messages, including conversations with our website chat assistant

Connected store and order information. If you are a client and connect a store or sales channel, or send us orders to fulfill, we receive order and inventory information, including your customers' names and shipping details. See Section 6.

Client portal information. If you are a client, we collect account details (name, email, company) and the information you submit through the portal, such as work orders, files, packing lists, labels, and comments.

Information collected automatically. When you visit the Site, we and our service providers automatically collect certain information, such as your IP address, browser and device type, pages viewed, referring website, and the date and time of your visit. We collect this using cookies and similar technologies (see Section 4).

We do not knowingly collect sensitive personal information such as Social Security numbers, financial account numbers, or health information through the Site. Please do not submit this type of information through our forms or chat.

2. How We Use Information

We use the information we collect to:

  • Respond to your inquiries and prepare quotes and proposals
  • Provide, operate, and support our logistics and fulfillment services and the client portal
  • Communicate with you about your account, orders, and our services
  • Send business communications and marketing about our services, which you can opt out of at any time
  • Understand how visitors use the Site so we can improve it and measure our advertising
  • Protect the security of the Services, prevent fraud and spam, and enforce our terms
  • Comply with legal obligations

3. How We Share Information

We do not sell your personal information. We share information only as described below:

  • Service providers who help us run our business, such as website and portal hosting and file storage (Vercel, Neon), email (Microsoft 365, Resend), data storage (Google Workspace), error monitoring (Sentry), analytics and advertising (Google Analytics, Google Tag Manager, Google Ads, Vercel Analytics), our chat assistant (OpenAI), and the warehouse management and shipping software we use to fulfill orders. These providers may use the information only to perform services for us.
  • Carriers and logistics partners such as UPS, FedEx, USPS, DHL, and freight partners, when needed to fulfill, ship, or deliver orders for our clients.
  • Legal and safety reasons, if we believe disclosure is required by law, subpoena, or legal process, or is necessary to protect the rights, property, or safety of Asfar, our clients, or others.
  • Business transfers, in connection with a merger, acquisition, financing, or sale of all or part of our business.
  • With your consent or at your direction.

4. Cookies and Analytics

We use cookies and similar technologies to operate the Site, remember your preferences, understand traffic, and measure the results of our advertising. This includes Google Analytics and Google Ads conversion tracking. You can learn how Google uses data at policies.google.com/technologies/partner-sites and opt out of Google Analytics at tools.google.com/dlpage/gaoptout.

Most browsers let you block or delete cookies through their settings. If you do, some parts of the Site may not work as intended. The Site does not currently respond to "Do Not Track" browser signals.

5. Website Chat Assistant

Our chat assistant is an automated virtual assistant, not a person. Messages you send through the chat are processed by our AI service provider to generate replies and may be emailed to our team so we can follow up. Please do not share sensitive personal information in the chat.

6. Connected Stores and Sales Channel Integrations

Clients may connect their online stores and sales channels, such as Shopify, Amazon, WooCommerce, Walmart, eBay, TikTok Shop and similar platforms, to our systems, either directly or through the warehouse management and shipping software we use to fulfill orders. This section explains how we handle data from those connections.

What we access. With the client's authorization, we access only the data we need to fulfill and ship their orders. This may include:

  • Order details such as order number, items, quantities and shipping method
  • The recipient's name, shipping address and phone number, and email address where the platform provides it
  • Product, SKU, listing identifiers (such as ASIN and FNSKU) and inventory levels
  • Return and refund information related to orders we handle

How we use it. We use store and channel data only to receive, pick, pack and ship orders, purchase shipping labels, provide tracking, process returns, manage inventory, send fulfillment and inventory updates back to the connected channel, support our client, and meet legal, tax and accounting obligations. We do not use our clients' customer data to market to those customers, we do not sell it, and we share it only with the carriers and service providers needed to complete the order.

Our role. For data from connected stores, our client (the merchant) owns the relationship with its customers and is responsible for its own privacy notice. We process that data on the merchant's behalf and according to its instructions. If you are a shopper and want to access, correct or delete your information, please contact the store you bought from. We will help that store respond to your request.

Amazon data. Data we receive from Amazon, including through the Amazon Selling Partner API, is handled in line with Amazon's Data Protection Policy and Acceptable Use Policy. We use Amazon customer information only to fulfill orders and for required tax and legal purposes, we keep it no longer than 30 days after the order is delivered unless a longer period is required by law, and we never use it to contact Amazon customers for marketing.

Shopify data. For Shopify stores, we follow Shopify's API and Partner Program terms. We honor customer data requests and deletion requests passed to us by Shopify or the merchant. When a merchant disconnects or uninstalls our integration, we delete that store's data within 30 days, except for records we are required to keep by law.

Security of connected data. Access tokens and credentials for connected stores are encrypted, store data is encrypted in transit and at rest, and access is limited to the people who need it to do their jobs. If we discover a security incident affecting data from a connected platform, we will notify the affected client and, where the platform's terms require it, the platform itself within the time those terms set.

Disconnecting. Clients can disconnect a store at any time from the platform's app settings or by contacting us. Disconnecting stops new data from reaching us, and the data we already hold is then handled as described above.

Platform terms. Shopify, Amazon and the other platforms named here are trademarks of their owners. We are not affiliated with or endorsed by them, and your use of those platforms is governed by their own terms and privacy policies.

7. Email Communications

If you give us your email address or we contact you about our services, you may receive business emails from us. You can opt out of marketing emails at any time by replying "unsubscribe" or by emailing info@asfardistribution.com. We may still send you non-marketing messages related to your account or services you have requested.

8. Data Retention

We keep personal information for as long as needed for the purposes described in this policy, including to provide services, maintain business records, resolve disputes, and meet legal, tax, and accounting requirements. When information is no longer needed, we delete it or make it anonymous. Data from connected stores and sales channels follows the shorter limits in Section 6 where they apply.

9. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. You use the Services at your own risk, and you are responsible for keeping your client portal login credentials confidential.

10. Your Choices and Rights

You may request to access, correct, or delete the personal information we hold about you, or opt out of marketing communications, by emailing info@asfardistribution.com. Depending on where you live, you may have additional rights under applicable law, including the Texas Data Privacy and Security Act. We will verify your request and respond as required by law. If we deny your request, you may appeal by replying to our decision with the subject line "Privacy Appeal."

11. Children's Privacy

The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

12. Third-Party Links

The Site may link to third-party websites and services, such as WhatsApp, carrier tracking pages, and ecommerce platforms. We are not responsible for the privacy practices of those third parties. Please review their privacy policies before sharing information with them.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Your continued use of the Services after an update means you accept the revised policy.
